Requirements:

Job Purpose:

The Bilingual Administrative Assistant plays a pivotal role in ensuring the efficient operation of both the reception area administrative duties, and administrative human resources functions within the organization. They are responsible for providing skilled secretarial support with a focus on customer service, client relations, and clerical tasks. This includes providing primary support to answering the main phones lines, assisting callers and visitors, managing correspondence, and coordinating with various departments. While not directly supervising employees, they may contribute to projects and programs as needed. Additionally, the Bilingual Administrative Assistant may act as a liaison for employees and the HR department regarding: health and welfare plans, benefits-related issues, and assists with ensuring compliance with federal and state regulations. This role also provides administrative support to the HR function, including record-keeping, file maintenance, and HRIS data entry.

Required Education and Experience:

  • High school diploma or GED
  • 1-2 years’ Previous office, receptionist or secretarial skills required.
  • Fluent language skills in English and Spanish required

Required Certifications (if applicable):

  • Community Health Worker or other relevant certifications a plus

Preferred Skills & Experience:

  • Bachelor’s Degree in Business Administration preferred

Essential Functions, include, but are not limited to:

  • Receive all incoming calls and greet all guests in a friendly, polite and professional manner.
  • Maintain a positive work environment by conducting all communications with clients, visitors, colleagues, co-workers and supervisors in a professional, friendly, cooperative and helpful manner.
  • Conduct face-to-face and telephone contacts in a courteous and professional manner with each person who enters or calls the Food Bank.
  • Excellent customer service skills are required. Refer, as appropriate, the caller or visitor to the proper staff person, Food Bank member agency or other resource.
  • Research, compile, maintain and update current knowledge of Food Bank activities, programs, collateral materials, office desk manual and other resources so that inquiries are accurately and promptly handled with complete and timely responses.
  • Process general correspondence, thank you letters and the daily mail to include copying and processing of incoming direct mail.
  • Acts as a liaison for employees and the HR department regarding benefit questions.
  • Performs customer service functions by answering employee requests and questions.
  • Performs Orientation duties for New Hires.
  • Does occasional research projects for the HR Department through use of internet at front desk
  • Makes photocopies; mails, scans and emails documents; and performs other clerical functions.
  • Does basic filing.
  • Assists or prepares correspondence as requested.
  • Prepares new-employee files.
  • Performs other related duties as assigned.

  • Ability to keep confidential information, confidential.
  • Ability to perform as an effective team member.
  • Ability to work independently.
  • Able to take direction well, using good listening skills, asking questions and taking notes if necessary.
  • Excellent communication skills, both written and verbal.
  • Excellent computer skills, including Microsoft Office Suite or related software (word processing, spread sheet, data base, email and etc).
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent phone etiquette.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Impeccable ethical business practices.
  • Maintain a clean, well-groomed appearance.
  • Working understanding of human resource principles, practices and procedures.
  • Ability to communicate competently in Spanish in both verbally and in writing.

Travel:

  • This position may on occasion be required to travel locally to assist with events or specific functions.

Position Type/Expected Hours of Work:

  • This is a full-time position. Normal days and hours of work are Monday through Friday 8:00am-4:30pm.
  • Days and hours may vary from normal schedule when program schedule adjusts or other special events arise.

Supervisory Responsibility:

  • This job has no supervisory duties.

Physical Demands:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Work Environment:

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee regularly works in an office setting approximately 100% of the time.
  • While performing the duties of this job, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers, to handle, feel, and type. The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, stoop, kneel, crouch, or crawl. The Employee may need to occasionally lift 25-30 pounds. Vision abilities required by this job include close vision. Employee utilizes a computer for a significant portion of the day in the performance of duties.
